Responsibilities:
Purpose
Provide secretarial and organising services to the Regional Director and assignees into the country. A member of a small team, the PA also provides office management services as described below.
Duties and Responsibilities
Directly supports the Regional Director and provides advice and inputs on business activities as appropriate.
Supports the administration of assignees and business visitors in areas that are not covered elsewhere.
Maintains calendar appointments with access to all senior customers, government and partner diaries in Indonesia.
Coordinates senior visits to Indonesia offices; including hotel bookings, travel, diary management, visa applications, scheduling high-level meetings and liaison with senior RR offices.
Organises and coordinates conferences, events, meetings and appointments.
Handles confidential documents and maintains proper up-to-date archive system for easy retrieval.
Acts as Purchasing Requisitioner for all administered indirect purchases for RR in Indonesia.
Manages ongoing relationships with selected external suppliers such as travel service providers to ensure the company receives satisfactory standards of service.
Ensures smooth transitioning of activities/tasks (including records) to identified functions as directed.
Administers all inbound and outbound travel of all employees.
Ensures the smooth running operation of core office administration, includes security administration, reception and third party service providers (such as cleaning, drivers).
Provides local administration support on HR activities as directed by HR Country Manager; in compliance to local legislation and Rolls-Royce policies and procedures on all HR-related areas.
Provides finance, treasury and tax administrative support as directed by Finance Business Partner and ensure compliance to local regulations and adherence to Rolls-Royce policies and procedures on all related matters.
Highlight any irregularities, risks or issues to appropriate authorities in Rolls-Royce for resolution.
Requirements:
Professionally qualified with Degree in Business Administration
At least 3 years relevant working experience in similar position with heavily matrixed MNC organisation
Possesses excellent communication skills in English and Bahasa Indonesian
Has at least intermediate level skills in MS-Excel, MS Word and MS Powerpoint
